Privacy policy

Last updated: 27 October 2026.

This notice explains what personal information Barnet House collects, why, who we share it with, how long we keep it, and what your rights are. It covers this website, bookings made with us directly or through booking websites, enquiries, and your stay.

Who we are

Barnet House, 38 High Street, Dunfermline KY12 7AS, is run by Dunfermline Estates Ltd, a company registered in Scotland (no. SC763736), registered office 90 Castle Street, Glasgow G4 0SA. VAT number GB 504 0433 44. We decide how your personal information is used, which makes us its controller.

For anything about your personal information, email info@barnethouse.com, call 0131 392 0422 or write to us at Barnet House, 38 High Street, Dunfermline KY12 7AS.

What we collect and why

When you book with us

Whether you book on this website, by phone or by email, we collect your first and last name, email address, phone number, country, any request you add, and whether we may call or text you about the booking. We use them to make and manage your booking, send your confirmation and check-in instructions, take payment and contact you about your stay. We need them to carry out our contract with you.

Card payments are handled by Stripe. You type your card details into Stripe’s own secure form, so we never see or store your full card number. If you pay by bank transfer, we see the payment on our bank statement.

When you book through another website

If you book through Booking.com or a similar website, it passes us what we need to host you: your name, contact details, dates, price and any requests. That website is a separate controller with its own privacy notice.

The guest register

The law (the Immigration (Hotel Records) Order 1972) requires us to record the full name and nationality of every guest aged 16 or over. For guests who are not British, Irish or Commonwealth citizens, we must also record the number and place of issue of their passport or other identity document, and their next destination if they know it. We keep the register for 12 months and must show it to the authorities if they ask.

The guest who books gives us these details in the booking form on this website. They are kept with the booking in Amenitiz, our booking system.

Security deposit and damage

We take a security deposit of £200 per apartment as a hold on your card before arrival. If we need to keep part of it for damage or a breach of the house rules, we keep a record of what happened, such as photos and notes. We do this to carry out our contract and to protect our property.

Enquiries

When you use a form on this website, we collect your name, email address, phone number, company if you give one, number of guests and apartments, dates and your message. The form is delivered to our inbox by Web3Forms. We use it to answer you and, if you ask, to prepare a booking.

CCTV

We use CCTV in the communal areas of the building only, never inside the apartments, to keep guests and the building safe. We do this because it is in our legitimate interest to protect guests and property.

Electricity use

Under our fair-use policy we monitor the electricity used in each apartment. Each apartment is metered on its own, so the use during a stay can be linked to that booking. We use it only to apply the fair-use policy in our house rules, as part of our contract with you.

When you visit this website

Our hosting provider, Vercel, keeps short-lived technical logs — your IP address, browser and the pages requested — so we can keep the site secure and working. If the booking system fails while you use it, the site reports the error to us without any personal information. What the site stores in your browser is explained in our cookie policy. We do not use analytics or advertising tracking.

Marketing

We do not send marketing emails or newsletters, and we send nothing after your stay.

Who we share it with

We never sell your personal information. We share it only with:

  • Amenitiz — our booking and property management system. It stores your booking and sends your confirmation email.

  • Stripe — card payments and fraud prevention.

  • Web3Forms — delivers website enquiries to our inbox.

  • Vercel — hosts this website.

  • Our email provider — Google Workspace.

  • Booking websites such as Booking.com, when you book through them.

  • Public authorities, when the law requires it, for example an inspection of the guest register.

  • Our professional advisers — accountant, insurer or solicitor — when we need them.

Transfers outside the UK

Some of these providers process information outside the UK, in the European Union or the United States (Stripe, Vercel and Web3Forms, among others). Where a country is not recognised by the UK as protecting personal information adequately, the transfer is covered by the UK International Data Transfer Agreement, the UK Addendum to the EU standard contractual clauses, or the UK–US Data Bridge.

How long we keep it

  • Guest register — 12 months, as the law requires.

  • Bookings and payment records — 6 years after the end of the financial year, because tax law requires it.

  • Enquiries that do not lead to a booking — 12 months.

  • CCTV recordings — 30 days, longer only when a recording is needed for an incident.

  • Website logs — no more than 30 days.

Your rights

You can ask us for a copy of your personal information, ask us to correct it or delete it, ask us to limit how we use it, object to how we use it, and ask for it in a form you can take elsewhere. Where we rely on your consent, you can withdraw it at any time. Some rights have limits — for example, we cannot delete the guest register before the 12 months the law sets.

To use any of these rights, email info@barnethouse.com, call 0131 392 0422 or write to us at Barnet House, 38 High Street, Dunfermline KY12 7AS. It is free, and we reply within one month. If your request is complicated, we may need up to two more months, and we will tell you if so.

Complaints

If you are unhappy with how we have handled your personal information, please tell us first: email info@barnethouse.com, call 0131 392 0422 or write to us at Barnet House, 38 High Street, Dunfermline KY12 7AS. We acknowledge every complaint within 30 days and tell you what we are doing about it.

You can also complain to the Information Commissioner’s Office at ico.org.uk/make-a-complaint or on 0303 123 1113.

Changes to this notice

We update this notice when what we do with personal information changes, and change the date at the top. If a change affects you significantly, we tell you directly.
